Why forms reject photos
A phone photo is 2-6 MB, while job portals, university admissions, scholarship and exam forms often cap uploads at 50-500 KB. The error usually says "file too large" or "exceeds maximum size". Sometimes the form just silently fails to upload. The fix is always the same: get the file under the limit without wrecking the photo.
Finding the limit
Look next to the upload field. You'll usually see something like "JPG, max 200 KB" or "up to 1 MB". If nothing is listed, start with 200 KB, which is already selected. It passes almost everywhere and still looks good.
| Where | Typical limit |
|---|---|
| exam and recruitment portals | photo 20-50 KB, signature 10-20 KB |
| job applications | 100-500 KB |
| university admissions | 200 KB-1 MB |
| scholarships and contests | 500 KB-1 MB |
| visa forms | varies, often with pixel and background rules |
These are rough figures; the form itself always has the final word.
How to compress a photo for an application
- Upload the photo above.
- Click the button that matches the form's limit, or type your own, like 150 KB.
- Keep JPG unless the form asks for another format.
- Click Compress and upload the file to the form.
If the form wants an ID-style photo
Some forms don't just want a photo, they want a passport-style one: a set size, a plain background, your head at a certain scale. Prepare it with the passport photo tool first, and if it's still over the limit, run the finished file through here.
If the form wants a PDF
Diplomas, certificates and transcripts often need to be uploaded as a single PDF. Combine photos of the pages with photos to PDF, then compress the PDF if needed.
Looking right in an application photo
For a job or university application, a simple head-and-shoulders shot against a light background works best: face clearly visible, no sunglasses, no filters. If you don't have one, take it by a window with your phone and clean up the background with remove background. A head-and-shoulders portrait almost always fits in 200 KB without visible loss.
On your phone
Many people fill in forms on their phone. Open this page in your mobile browser, choose the photo, tap the size and Compress. The file goes to your downloads, ready to attach.
